    What are the doís and dontís of writing a Official E-Mail? Do we have to write in the same way as a formal letter writing?

    I am really confused how to frame E-Mails for official purpose as like sending to Office peers and Managers. Can you tell me what are the doís and dontís of writing a Official E-Mail? Do we have to write in the same way as a formal letter writing? or it can be in short?

    hello...
    in first you define accurate or short subject regarding your topic...
    then start from a proper salutation like dear respected sir and all what you feel is good...
    after that introduce yourself like write your name what you do and all...
    then after that write the message whatever you want to say them..
    then use good leave taking like your sincerely,respectfully and all..
    at last sign with your full name it will be looking good...

    When you go to email for official purpose you can take more options to send email from formal letter.you can send e-mail in a second .in email there are separate places to add subject/references.the starting language will be the same just like dear ..x../sir/madam/respected sir etc and content also the same.at the end you write your name sig.no ,designation.

    There are extra facilities in e-mail you can attach file/scanned copy etc,

    Steps for Official Email:-

    1.TO
    2.SUBJECT
    3.START WITH HI,SIR,MADAM...
    4.BODY HAVING ONLY IMPORTANT CONTENT.SHORT AND SWEET.
    5.THANKS&REGARDS
    6.NAME OF THE PERSON WHO WRITES THE EMAIL.
    7.DON'T USE DEAR ARE ANY PERSONAL ADDRESSING WORDS.

    Hi ,

    This might help you.

    1.Dont forget to write the subject.Subject should be like the nutshell of the contents in the body.

    2.Start with the salutation like Hi.You can use the name of the persion whom your sending the mail.

    Eg. Hi Mr.X ,

    3.First be precise that for what your writing the mail.

    4.Dont use sms language.

    5.Short forms which is been widely used and accpeted can be used.

    6.Its should be very formal as it was supposed to be.

    7.Always to end your email with Awaiting for your kind response incase his/her reply is required.

    8.End it with Thabnks and Regards.

    I am writing few tips for writing official email, hope this will help you out in clearing your doubts -

    * Email should not bear casual approach it should be following formal approach.

    * If you are sending e mail to your fellow colleague, still do not use casual writing no matter how you talk with him on face.

    * Proper use of salutation should be kept in mind, if your company do not follow sir/madam approach instead of that your company uses calling employees by their name then do not add sir/madam for your seniors, you can use Mr./Mrs/Miss and the initials of name .

    * Most of the people do have habbit to write thanks and regards at the end of email which is not considered to be good under email etiquette, only use regards, no need to write thanks with regards.

    * Do not use short or sms language in official email.

    * Spelling and grammar mistake should not be done.

    * Sub of email should be well pointed and should be short.

    first decide the short and accurate subject,there should be proper salutation like dear respected sir,then after introducing yourself write the message you want to say ,it should be short and precise and not lengthy one ,it should be to the point.At last sign with you full name.

    hi friend..

    yes.you can write in the same way as a formal letter writing but in that some thing you should know.it will expose good quality of letter.

    1.first you can put the date in the right corner of the letter.

    2.to start from and to..

    3.then subject,,in this what purpose you are write this letter in short form of one line.

    4.respected sir,madam,dear,etc,..then comes body of the letter.this in contain brief about the letter what purpose you are writing..

    5.below this finally say thank you and put your name and designation with regards..
