    How failure should be communicated to a client?

    I am a project manager in a consulting firm. Recently our team was unable to perform a job given by one of our clients. How shall we communicate our failure to the client ? The client is important for our firm and it should be kept in mind that we don't express our failure in the wrong way.

    Communicating failure is also an important aspect in professional world.As we are humans and every human does mistakes,so there is no harm in accepting our mistake and inability to do something.The failure should be communicated in such a way so that it does not harm the relation or affect the tie up between two companies.

    You should convey the message of failure personally or through written application.But it is better if you convey it personally as this will help in better understanding by the client as well as upholding your relation with him.However,in long distance,it is better to go for telephonic or written medium.

    First,convey your sadness for not being able to complete the given task.Convey the difficulties faced by your company to do the task.Make him understand the reasons for the inability to complete the task within the stipulated time.If you feel that your firm can do the task if the client extends the stipulated time then request your client for some extra time.Convey sorry once again and give an assurance of completing the future tasks given by him.Mention the hope and desire of your company to carry on the business with him in the future as well.You should be polite,humble,patient and honest during the communication.
