Executives make up fake out-of-station duty allowance brochures

The human resource department on record has stated that that a group of sales executives have been filling fake out-of-station duty allowance forms. It is a wrong practice and may set wrong examples. Please suggest what I should do.

This is definitely a wrong practice and is quite an unprofessional attitude shown by the person holding such good posts like that of the sales executive. It is definitely a serious matter and requires immediate action into this.Otherwise it can cause great extra expenditure to the company in the long run.

If this sort of practice is not checked at this point,it can influence and tempt many more employees to do the same.As a result it can not only increase in geometric progression but also incur huge loss on the company without any gain.In order to achieve success in broadening the profit margin of a company, you need to curb this sort of situation and take some strict action against the concerned ones who are involved in this. This will not only restrict them in doing further but also restrict others as well.

-First of all,you need to investigate in this matter.
-Get the requisite evidences against the concerned executives.
-After that call the concerned executives and summon for a meeting.
-Hand them a show cause notice regarding this issue.
-Listen to their replies and show their evidences.
-If they accept their mistake, you can be a bit lenient.
-You can ask them to return the entire money that they have received in this manner.
-If they deny, you can cut it from their salary.
-Give a final warning to them against this sort of issues.
-You can ask them to write an undertaking for this cause stating that they will not repeat this sort of mistake again.
